CRM
Owns the sales relationship, account assignment, activities and pipeline.
Magento knows what a customer bought. The CRM knows who the sales representative spoke to and what is happening in the sales relationship.
The problem starts when both systems hold their own, partly different view of the same person or company.
We design Magento CRM integrations so that e-commerce and sales share one coherent process. This does not mean synchronising everything with everything.
First, we determine which data people genuinely need and which system should own it.
A free 30–60 minute call. We will learn about your sales and marketing processes and the data flow between Magento and the CRM. We will outline the integration scope, sources of truth and areas requiring analysis.
Data consistency
In many organisations, e-commerce and CRM developed separately.
Magento stores the user account, addresses and order history. CRM stores the company, contacts, owner, activity history and pipeline. In B2B, an ERP with prices, limits and fulfilment is usually involved as well.
Unless system roles are explicit, each one gradually stores its own version of the customer. Sales cannot see online orders, the store does not know the account owner, and company data is corrected in several places.
An integration should remove this problem, not merely copy records automatically.
Data scope
Technically, almost any Magento data can be sent to a CRM. That does not mean it should be.
A complete product catalogue or every technical order field has no value if salespeople never use it.
For each data type, it is worth asking one simple question: who needs this information, and in what situation?
If there is no good answer, the data probably does not need to be synchronised.
B2B in practice
In one of our B2B projects, Salesforce was part of the daily sales process.
Sales representatives worked with assigned accounts, managed contractors and prepared baskets or quotations for them. Customers could then accept the prepared purchase journey and complete the order in e-commerce.
Salesforce was not a separate system operating beside the store. The process connected the salesperson’s work with the customer’s actions:
This is the difference between integrating records and integrating a sales process.
Architecture
In B2B, one account often exists in three environments.
Owns the sales relationship, account assignment, activities and pipeline.
May own prices, price lists, limits, financial terms and fulfilment.
Owns the user account, self-service, basket and checkout.
There is no need to nominate one system as the “master of everything”. Instead, each type of data needs a clearly defined owner.
If commercial terms can be changed in both CRM and ERP, sooner or later a customer will see a price in the store that nobody consciously approved.
Salesforce
A Salesforce integration can work in both directions.
Customer information, transactions, purchase history and the data salespeople need can flow into CRM. Account ownership, account data and sales-process elements that affect the e-commerce experience can flow back.
The scope depends on how Salesforce is actually used in the organisation.
HubSpot
A HubSpot integration can cover contacts, companies, transactions and data used by sales or marketing.
When HubSpot serves as both CRM and marketing automation, data needed by salespeople should be separated from information used for marketing communications.
There is no reason to send the entire customer history to every system simply because the API permits it.
Identity
The same customer can appear in the systems in several different ways.
They may first appear as a lead, later as a guest purchase, then as a Magento account, while CRM also stores them as a Contact linked to a company.
In B2B, an email address is not always a reliable unique identifier. An address can be shared, while one person may use several.
Before development, we define matching, conflict and merge rules, along with rules for creating customers and updating existing data.
It is much easier to design these rules before launch than to repair months of synchronisation.
Resilience
In many architectures, CRM is not required to place an order. A synchronous CRM call would make purchasing depend on a system that is not transaction-critical.
Data can instead be delivered asynchronously using queues, retries, idempotency, logging and monitoring.
If CRM is temporarily unavailable, the information can reach it later without stopping sales.
Marketing
Purchase data can support segmentation, post-purchase communication and marketing automation. This is a different use case from a salesperson’s daily work.
CRM may need relationship and transaction data, while a marketing tool needs segmentation and communication data. Separating these needs avoids transferring information without a concrete purpose.
Self-service
When a customer or partner layer is needed alongside the internal CRM, Salesforce can manage data and processes while Experience Cloud provides self-service.
CRM integration then becomes part of a broader solution.

Salesforce Experience CloudDiscovery
If CRM data is incomplete, salespeople follow different rules and nobody owns specific information, synchronising Magento will not solve the problem.
It may only spread inconsistency faster. Discovery must first organise responsibilities and data flow; only then should the process be automated.
Velocity
We have experience with Magento and integration projects spanning CRM, ERP and B2B processes.
We have worked with both Salesforce and HubSpot.
In one project, Salesforce was the salesperson’s actual working tool and the integration continued into the customer purchase process in e-commerce.
We therefore treat CRM as part of the sales process, not simply a contact database to synchronise.
How we work
We learn the customer journey and how salespeople work.
We establish what information exists in Magento, CRM and ERP.
We define the source of truth for each type of data.
We design relationships between users, companies and system records.
We select synchronisation directions and sync/async models for each process.
We test duplicates, missing data and CRM unavailability as well as the happy path.
After go-live, the integration can be maintained and developed with the e-commerce platform.
The right direction
If prices, stock, limits and order fulfilment are the main problem, Magento ERP integration is the better direction.
Magento ERP integration →If the problem concerns product information, PIM and product data management are the right starting point.
PIM and product data management →If you need a Salesforce-based customer or partner portal, Salesforce Experience Cloud is the relevant solution.
Salesforce Experience Cloud →To assess the technical condition of the store itself, start with our free performance and security audit.
Questions
So that e-commerce and sales share a consistent customer view and salespeople can access the information they genuinely need.
Yes. We have experience with Salesforce integrations and B2B projects where CRM was part of the complete salesperson and customer journey.
Yes. The scope can cover contacts, companies, purchase information and data used by sales and marketing.
Only data that supports a concrete process-typically customer and company data, basic transaction information and information needed by salespeople.
Not always, especially in B2B. We define identity and duplicate-handling rules before launching the integration.
Not when it is not required for the transaction. It is safer to separate purchasing from CRM communication and transfer data asynchronously.
CRM primarily covers sales relationships, contacts and sales work. ERP usually covers prices, stock, limits, finance and fulfilment.
Not by itself. Inconsistent data and processes need clear ownership and working rules before they are automated.
